Privacy Policy

Oncollegee is an AI-powered coaching platform for life-sciences professionals. Access is provided through your employer or sponsoring organization (“your organization”): accounts are created by invitation from your organization’s administrators, and your use of the platform is governed by our agreement with them. This policy explains what information we collect, how we use it, and the choices you have.

We collect only what we need to operate the platform:

• Account information — your name, work email address, role, and the organization and groups you belong to, provided when you are invited or when you sign up.
• Learning activity — module progress, assessment responses and results, and your conversations with the AI coach, used to personalize your learning path.
• Technical information — log data such as IP address, browser type, and timestamps, plus the cookies described below.

• To provide and personalize the coaching experience, including building and adapting your learning path.
• To report learning progress to your organization’s administrators.
• To send transactional email only — account invitations, signup verification, and password resets. We do not send marketing email.
• To secure, maintain, and improve the platform.

Conversations with the coach are processed by third-party AI model providers acting as our service providers under contractual confidentiality obligations. Per those providers’ commercial API terms, your inputs and the coach’s outputs are not used to train their models. Coaching responses are grounded in your organization’s approved training content.

We do not sell your personal information. We share it only with:

• Your organization — administrators can see your learning progress and assessment results.
• Service providers — vendors that host our infrastructure and deliver our email (for example, Amazon Web Services), bound to use your information only to provide those services.
• Legal requirements — where required by law or to protect the rights, safety, or property of Oncollegee, our customers, or others.

We use a small number of strictly necessary cookies to keep you signed in and to secure the platform. We do not use advertising or cross-site tracking cookies.

Your information is stored on Amazon Web Services infrastructure in the United States. We encrypt data in transit and at rest, restrict access on a need-to-know basis, and review our safeguards regularly.

We retain your information for as long as your account is active or as needed under our agreement with your organization, then delete or de-identify it within a commercially reasonable period.

You may request access to, correction of, or deletion of your personal information. Because your account is managed by your organization, we may route requests through your administrator where our agreement with them requires it. To make a request, contact us at jed@oncollegee.com.

If we make material changes to this policy, we will update the effective date above and notify your organization. Continued use of the platform after changes take effect constitutes acceptance of the updated policy.
